Information for presenters

Paper (oral) presentations

To help ensure a flawless presentation, please follow these steps:

  1. Send your PC or MAC presentation Directly to Nicolaas Sont of ConferSense Planners at nick@confersense.ca
  2. Your presentation should be saved and named as follows: last name, day of the week of the presentation, name of the session, time of the presentation. For example: StephensonWednesdayAmblyopia16:00
  3. Submit your presentation no later than Friday, June 8th, 2012
  4. Include a financial disclosure slide in your presentation
  5. Bring a back-up copy of your presentation on a memory stick to the meeting
  6. Check that your presentation has been received and is scheduled correctly by visiting the Speaker Preview room when you arrive on site
  7. Edit and revise your presentation, if necessary, the day before your scheduled talk. You may make changes up to 1 hour before your presentation time
  8. Arrive 10 minutes prior to the start of your session and check in with the session chair

Please note: Your presentation must be uploaded ahead of time. We will not accept presentations within 1 hour of the start of the session. If you do not upload your presentation, you will not be allowed to present.

Dear IOA presenter,
As at the XIth International Orthoptic Congress in Antwerp, a selection of papers will be published in a supplement to the journal Strabismus. The papers included in this supplement will be selected by the Congress Scientific Programme Committee from all full-text submissions received by 27 April 2012. Due to large number of high-quality submissions, authors whose abstracts have been accepted for poster presentation can submit full-text submissions of their work by the above deadline and these submissions will also be considered for publication in the supplement. Please email your full-text submission for consideration to Gail Stephenson, Chair of the IOA Congress Scientific Committee M.G.Stephenson@liverpool.ac.uk

Please follow the attached guidelines for publication in Strabismus. Note that submitted papers should not exceed 2000 words.

Length of presentations
Check the program for the specific time of your presentation. Paper (oral) presentations are 8 minutes in length with 2 minutes allowed for questions. Please plan your presentation appropriately and respect the time limit.

Confidentiality
The confidentiality of your presentations will be preserved. Only IOA Congress staff are able to view presentation files. All files are removed from the upload site once they are added to our database. All presentations will be permanently deleted from the onsite computers at the conclusion of your session.

Poster Presentations

Set-up: 0730-0830 on your assigned poster day
Take-down: 1600 at the end of each day

Size: The total usable space available is 4 feet tall by 4 feet wide. A standard 36 inch tall by 48 inch wide poster is recommended (91.4 cm tall by 121.9 cm wide).

Location: Frontenac ballroom and lobby

Congress staff will be on site to assist with the poster set up.

A Poster Prize will be awarded at the Congress Closing Ceremony.

Disclosure

Our providers of continuing education credits dictate that all presenters must disclose to the program audience any real or apparent financial interests relevant to the content of the program in order to ensure balance, independence, objectivity, and scientific rigor in all accredited educational activities. Declaration of financial interest is not intended to restrict content but to inform the audience that this relationship exists.

All presenters MUST disclose any significant financial interest or other relationship with the manufacturer(s) of any commercial product(s) and/or provider(s) of any commercial services over the previous two years.

A financial interest is any relationship in which you may benefit by receiving: salary, travel benefits, intellectual property rights, royalties, honoraria, stocks, stock options, consulting fees, speaking fees, membership fees, or any other financial benefit. Financial relationships pertain equally to your immediate family (i.e., spouse/partner or dependent child).

Important reminder
The presenting author of accepted papers and posters must register for the congress by the 31 January 2012 to have their presentation/poster included in the congress.

Meeting app form

In an effort to host a "green" meeting, the IOA Congress will be providing delegates with an interactive, mobile Web app that does not require any download. It detects which device delegates are using and runs on iPhone, Blackberry, Android, Palm, Windows Mobile, and Nokia devices as well tablets such as iPad and Galaxy. Congress delegates will be able to access meeting schedules, abstracts, speaker bios, profile pictures, links to social media, maps, polls, event alerts, surveys, and CE credit information by using this meeting app.

To ensure that the program includes your information, please send a completed Speaker Meeting App Form to Nicolaas Sont at Confersense no later than Feb. 29, 2012. (You may fill in this form on screen, but then print it and send by email, fax, or post.)

All personal contact information is protected by the IOA and all Confersense staff and will not be provided to conference delegates.

Continuing education credits, speaker bio, and financial disclosure form

To facilitate the application of continuing medical education credits for all congress delegates, please fill in the attached Speaker Bio/Financial Disclosure Form. Completed forms must be returned to Marie Marin at Confersense no later than Feb. 29, 2012.
